Privacy Notice

This notice describes how personal data is processed in connection with the website and the organisation of the 4th European Biblio/Poetry Therapy Conference, in accordance with the Turkish Law on the Protection of Personal Data (Law No. 6698, KVKK) and the General Data Protection Regulation of the European Union (GDPR).

Data controller

The data controller is the 4EBPTC 2027 Organising Committee, acting on behalf of the organising institutions. Contact: info@4ebptc.org.

Categories of data and purposes

  • Abstract submission: names, affiliations, e-mail addresses and biographical notes of authors, processed for the review of abstracts, the preparation of the programme and the publication of the Book of Abstracts.
  • Registration: contact details, participant category, dietary and access requirements and payment confirmation, processed for the administration of participation, invoicing and the issuing of certificates.
  • Contact form: name, e-mail address and message, processed for answering the enquiry.
  • Website usage: anonymised statistics only; no tracking cookies are used.

Legal basis and retention

Data is processed on the basis of the performance of the registration contract, the consent of the data subject (contact form, photography) and the legitimate interest of the organisers in holding the conference. Data is retained for the duration of the conference cycle and for the statutory retention periods applicable to accounting records. The Book of Abstracts and the programme remain published as part of the scientific record.

Recipients

Data is disclosed only to processors required for the conference (abstract management system, payment service provider, e-mail service) and to the organising institutions for organisational purposes. Data is not transferred to third parties for marketing purposes.

Photography and recording

Photographs and recordings may be made during the conference for documentation and communication purposes. Participants may object on the registration form or at the registration desk.

Rights of data subjects

Data subjects have the right to obtain information about, to access, to rectify and to erase their data, to restrict or object to processing and to withdraw consent, by writing to info@4ebptc.org. Requests under Article 11 of the KVKK are answered within thirty days.
